The main focus of the City Clerk's office is to provide information to the citizens, fellow employees, and other public entities.

A large portion of the City Clerk's office deals with the proceedings and policies generated through public meetings of the legislative body, The Board of Commissioners. Records, such as agendas, minutes, resolutions, ordinances, contracts, deeds and easements automatically become public record wit their adoption and/or approval by the City Commission. The City Clerk is responsible for archiving the records, providing copies of the records upon request, and publications of various documents. On occasion, individuals, whether for companies they work, or for personal use, will request documents to be mailed or faxed. While Kentucky Law provides that governmental agencies can require a written request for public records, the City Clerk's office oftentimes will provide the record in question without written request or cost.

The City clerk acts as liaison between various public agencies and the Board of Commissioners. Additionally, the City clerk assists public agencies in complying with Open Meeting Acts as well s coordinating meetings among its members. The office also communicates between the agency and the public with regard to items to be placed on the agenda as well as communicating any official action taken during the meetings.

Through written or verbal correspondence the City Clerk is often the individual coordinating request for repairs to city infrastructure with the public works departments, Department of Transportation, or other public utility.

Projects utilizing sate or federal funds are generally coordinated through the City Clerk's office, with the assistance of a grant consultant or the area development agency. Again, as project coordinator, the Clerk is liaison between the funding agency and the City commission; the contractor and the pubic affected by the project; and the funding agency and the public.

In summary, the City Clerk's Office provides public information to anyone requesting information. The telephones are answered live, not by automation. Unless otherwise requested by the caller, the telephone attendant will take the complaint and contact the agency responsible for correction. This office deems customer service, with courtesy, as its number one goal.
